Badges

All badges will be printed onsite and will not be mailed. Badges must be worn at all times while onsite at the annual meeting and are required for admission to all meeting activities, including the exhibit hall and poster sessions. Badges are non-transferable. Please note that badge reprints will incur a $25 fee at the time of printing.

Onsite Experience, Shared Space

Please note that AES is sharing the GWCC with the Southeastern Conference (SEC) football championship. Their SEC Fanfest will take place on Saturday, December 6. As such, there will be increased security and police presence both at the GWCC and in Atlanta during the weekend of the Annual Meeting. AES attendees are advised to plan for longer transit times both in Atlanta generally and on campus at the GWCC due to the volume of visitors and attendees.

A Note for Attendees Staying at the Signia Hotel by Hilton

Please note that due to the SEC Fanfest, there will be increased security between the hotel and the GWCC. To arrive at the GWCC Building B lobby from the Signia, take the main hotel elevators up to Level 4. Upon exiting the elevator, proceed through the Nest on Four restaurant and exit through two sets of glass doors. Walk across the concrete plaza to arrive at the GWCC. There will be a security checkpoint near these doors. AES attendees may bypass the checkpoint and continue straight to arrive at the Building B lobby/Thomas Murhpy spiral staircase.

Closed Captioning for Symposia

New this year, AES is pleased to partner with Koda to offer closed captioning for several symposia sessions. You can access captions on your mobile device using QR codes posted in sessions or via the links provided in the AES 2025 mobile app. Check out this video to learn more.

Passport to Prizes

Your passport could be the winner! Pick up your Passport to Prizes at the event materials counter and visit all participating exhibitors to participate in daily prize drawings. Drawings will be held once every day that the exhibit hall is open in booth #205--drop your completed passport in the raffle drum! Prizes include smart watches, tablets, Bluetooth speakers, laptops, and more! Please note that winners may only win once.

Career Fair

Visit the Career Fair inside the exhibit hall on Saturday (12:00 - 6:00 PM) and Sunday (10:00 AM - 4:00 PM) to connect with organizations seeking to fill open positions! These employers are looking to meet with epileptologists, neurologists, researchers, and experts in sub-specialties of these roles.

Share Your Story

Visit our video booth! We'd love to learn more about why you do the work that you do and what it means to you. Visit us in our onsite video booth to share a short testimonial! The booth is located in the convention center, building B, on level 3 just outside of room B312.

Poster Hall and Walking Tours

The poster hall is located in the Exhibit Hall. Don't miss the opportunity to check out more than 1,500 posters showcasing the latest and greatest in epilepsy research. Poster walking tours will be taking place on Saturday, Sunday, and Monday--details can be found in the mobile app!

Annual Wine Tasting and Silent Auction

Saturday, December 6, 7:00 - 10:00 PM, GWCC, Maple Point, Level 2

Join us for an evening of exceptional wine, even better company, and better yet, a worthy cause. Proceeds from the AES Wine Tasting and Silent Auction benefit the Lennox and Lombroso Trust and the Susan S. Spencer Fund, which support AES research programs. Tickets can be purchased online.

Credit Claim

Credit claim will be available once programming begins. For your convenience, you may claim credit for your participation in the live Annual Meeting via the mobile app or the AES website. Access to credit claim is based on your meeting registration type.

Evaluations and credit claim must be completed by the dates above to record and receive certificates.

Recording or Photos of Content and Material

AES strictly prohibits photography, video, and audio recordings, and screen captures in all educational sessions--both live and on-demand. The use of live-streaming software, such as Zoom, FaceTime, or live social media feeds is also prohibited.

Material presented at the AES Annual Meeting may not be reproduced in any format without the express written consent of AES or the otherwise applicable rights holder. By registering, participants acknowledge and agree that commercial or promotional distribution, publishing, or exploitation of speaker sessions, content, or materials from the event is strictly prohibited.

Violations of the AES recording, video, and image capture policy may result in removal from the session and possible revocation of event registration. 

The single exception: Photography or screen captures will be allowed in poster sessions with the permission of the poster authors. Registrants must confirm that the poster author gives permission by asking using the chat function within the virtual poster hall. In-person posters ok with photos will have a label indicating such.

AES reserves the right to use photos and recordings (audio and video) of attendees and faculty in promotional materials.
