To register for the AES Annual Meeting, you must have a free myAES account. If you already have one, you will be prompted to log in before registering. If you do not yet have a myAES account, you will be prompted to create one before proceeding with your registration. To login, you will need to use the email address in your myAES account and your password.

When is the early bird deadline?
Discounted early bird registration pricing is in effect through Wednesday, October 7. View registration rates and compare pricing here.

AES Member Registration Discount
To register for the 2026 AES Annual Meeting at the discounted member rate, your membership must be current with an expiration date of June 30, 2027 or later. 

To receive the member rate on your registration, you must renew or join AES before registering for the meeting. AES will not offer partial refunds of registration fees for those who renew or join after registering for the meeting. 

Switching Your Registration Between In-Person/Digital Select

AES 2026 offers in-person and digital/on-demand registration options. In-person registration includes access to select recorded content for 1 year, beginning on or about Tuesday, December 15, 2026.

Requests to switch from Digital Select to in-person or vice versa must be received in writing to aes@maritz.com (link) by Monday, November 9, 2026, at 12:00 PM PT. If applicable, requests made by this deadline will receive a price adjustment reflecting the difference in registration cost and fees. Requests made after Monday, November 9, 2026 at 12:00 PM PT will receive a price adjustment (if applicable) minus a $100 administrative fee.

Please note: Registrants are responsible for managing hotel reservations.

Registration Substitutions

Substitutions are permitted if the substitute's registration fee is the same or less than the original registrant's. Refunds on the difference in registration fees will not be given. Contact aes@maritz.com (link) to make a substitution. The deadline for substitutions is Thursday, November 12, 2026 at 12:00 PM PT.

Registration for Students
AES offers a student registration category for those 18 years of age and older who are high school, undergraduate, graduate, or medical school students who do not yet have a doctoral degree. Individuals wishing to register as students must: 

  • Verify their student status during the registration process
  • Acknowledge that they are not eligible to claim CE/CME 
Cancellations and Refunds arrow_drop_down

Hotel Reservation Deadline: Changes and requests for new reservations may be made through the official AES housing provider, Maritz, until 12:00 PM PT on Thursday, November 12, 2026. No changes may be made between Thursday, November 12, 12:00 PM PT and Tuesday, November 17, 2026. Changes can be made after Wednesday, November 18, 2026, with the hotels directly. Hotel reservations must be canceled at least seven days prior to arrival to avoid penalties.

Registration Refund Deadline: The deadline to cancel your in-person registration and request a full refund (less a $100 administrative fee) is Thursday, November 12, 2026, at 12:00 PM PT.

For credit card refunds, please allow 5-7 business days for processing. For check refunds, please allow 4-6 weeks after the Annual Meeting for processing. Requests made after Thursday, November 12, 2026, at 12:00 PM PT are not eligible for refunds.

Digital Select arrow_drop_down

Will Digital Select be available in 2026?
Yes. There will be a digital option for access to AES 2026 learning. More information will be available this summer.
All participants in any virtual aspects of the AES Annual Meeting, including registrants, faculty, speakers, exhibitors, sponsors, event attendees, and others, are responsible for ensuring that their computers and/or mobile devices, their internet and Wi-Fi capacity, and their electrical/battery support are sufficient to fully engage in any virtual offering(s). Refunds will not be provided to participants due to technology and/or connectivity problems or outages, whether resulting from the participant’s own systems or a more widespread virus or attack. 

Children at the AES Annual Meeting arrow_drop_down

Children 17 years of age and younger are welcome at the AES Annual Meeting if accompanied by a supervising adult. Individuals under the age of 21 are not permitted to attend any events where alcohol is served.

It is the responsibility of the supervising adult to: 

  • Supervise children at all times 
  • Remove children if they become disruptive 

 

Please note: 

  • AES does not offer a registration category for individuals 17 years of age and younger unless they are enrolled as students in undergraduate, graduate, or medical school programs in which case they are expected to register in the Student category. If a minor student is attending to present a scientific abstract, that individual must register as a student and if 17 years of age or younger, must be accompanied by an adult (who will receive a complimentary guest pass).
    • Children 17 years of age and younger who are guests of a registered attendee will receive a complimentary guest badge at registration.
  • Seating priority is given to registered attendees in all sessions 
  • Food and beverage offered during the AES Annual Meeting is exclusively reserved for registered attendees 
  • Individuals 17 years of age and younger are not permitted in the exhibit hall during set-up or tear-down 

 

Registration for Students
AES offers a student registration category for those 18 years of age and older who are high school, undergraduate, graduate, or medical school students who do not yet have a doctoral degree. Individuals wishing to register as students must: 

  • Verify their student status during the registration process
  • Acknowledge that they are not eligible to claim CE/CME 

 

Onsite Parents’ Room
Nursing parents are encouraged to use this room at the convention center, available during session times. The Parents’ Room offers two curtained-off private areas. Both are equipped with a chair, side table, and electrical outlet. A shared refrigerator will be available in the room. Parents are responsible for providing any necessary infant care supplies. AES is not responsible for any personal items left in the Parents’ Room, including anything stored in the refrigerator. Restrooms are located across the hallway. 

 

Exhibit and Poster Halls
For the safety of all attendees, staff, and partners, individuals 17 years of age or younger are not permitted in the exhibit or poster halls during setup or tear-down. Wheeled bags are prohibited (exhibitors, staff, vendors, and partners may wheel luggage or briefcases during non-show hours only). 

Strollers are permitted during exhibit hall and poster session hours. For safety reasons, please be mindful to avoid blocking aisles or right of way. 

  • Strollers larger than 31” (79 cm) in width and 52” (132cm) in length are not permitted
  • Stroller wagons are also not permitted
